Call for Volunteers

Are you passionate about occupational therapy and looking to make a positive impact on the profession? We invite you to join us as a volunteer at the Missouri Occupational Therapy Association (MOTA) Fall Conference, taking place on October 25-26 at Saint Louis University in St. Louis!


Why Volunteer? Volunteering at the MOTA Annual Conference offers you the chance to:

  • Enjoy complimentary access to select conference sessions and events during your volunteer hours.

Volunteer Responsibilities: As a volunteer, you may be involved in:

  • Registration & Check-In: Assisting with attendee registration, distributing badges, and providing conference materials.
  • Session Support: Helping with room setup, managing audiovisual equipment, tidying rooms in-between sessions and assisting speakers.
  • Exhibitor Assistance: Supporting exhibitors with booth setup and break-down, direct attendee engagement to exhibitor booths, and materials distribution.
  • Information Desk: Providing directions, answering questions, and assisting attendees with navigating the conference.
  • Conference Setup & Breakdown: Helping with the preparation and organization of conference materials and equipment, as well as post-event teardown.
  • ETC

Volunteer List of Responsibilities 

1. Registration & Check-In Table:

  • Attendee Registration: Assist with checking in attendees, distributing name badges, and providing conference materials such as programs or swag bags.
  • On-Site Registration: Help with processing on-site registrations, including collecting payments and issuing badges.
  • Information Distribution: Provide attendees with information about conference sessions, locations, and any schedule changes.
  • Line Management: Ensure the registration line flows smoothly, directing attendees to the correct check-in stations.

2. Speaker Session Support:

  • Room Setup: Assist with setting up rooms for sessions, including arranging seating, distributing materials, and ensuring the room is clean and organized.
  • Audiovisual Equipment: Support speakers with AV setup, including microphones, projectors, and presentations, ensuring everything runs smoothly.
  • Session Monitoring: Monitor sessions to ensure they start and end on time, provide assistance to speakers as needed, and manage any technical issues.
  • Room Maintenance: Tidy up rooms between sessions, ensuring they are ready for the next presenter.

3. Information/Hospitality Table:

  • Attendee Assistance: Provide directions, answer questions, and assist attendees with navigating the conference venue.
  • Resource Distribution: Distribute maps, schedules, and other informational materials to attendees.
  • Local Information: Offer information on local amenities, such as dining options, transportation, and attractions.
  • Lost & Found: Manage a lost and found for attendees’ belongings.

4. Floater:

  • Flexible Assistance: Be available to assist in any area where additional help is needed, including registration, session support, or information desk.
  • Emergency Coverage: Step in to cover for any volunteer who may need a break or cannot fulfill their shift.
  • On-Demand Tasks: Perform various tasks as requested by conference organizers, which may include running errands, helping with crowd control, or assisting with last-minute setups.
